Front Desk Assistant

This position is under Women’s Place.

Summary

Responsible for providing secretarial, clerical and administrative support in order to ensure that services are provided in an effective and efficient manner.

Responsibilities

  1. Provide women with information and referrals to service agencies and organizations when needed
  2. Greet, assist and/or direct visitors, participants and the general public
  3. Provide word-processing and secretarial support
  4. Assist with recruiting individuals for program participation, workshops, community meetings, surveys, and other activities
  5. Assist with ensuring that adequate and appropriate print resources are available for women
  6. To research information dedicated to women experiencing abuse and other sensitive issues
  7. Assist with updating research material for use at Women’s Place
  8. Answer all incoming calls and handle caller’s inquiries whenever possible in a professional manner
  9. Re-direct calls as appropriate and take adequate messages when required
  10. Respond to public inquiries
  11. Assist in the organization of special events at Women’s place in an effort to reach isolated women in the community
  12. Provide research assistance for projects and events
  13. Assist with the purchase of supplies for program
  14. Assist with the development of material for programs
  15. Comply with policies and procedures regarding confidentiality, privacy, reporting and record keeping
  16. Assist with collecting service statistics

 

Requirements

  1. Excellent interpersonal, verbal and written communication skills including professional telephone manner
  2. Ability to communicate with sensitivity to clients from diverse language and cultural backgrounds
  3. Ability to work responsively and proactively within a small teamwork based framework
  4. Ability to work independently and as part of a team
  5. Good working knowledge of computers and appropriate software
  6. Commitment to anti-racism and non-discrimination practices
  7. Complete MFRC volunteer orientation and completed all necessary forms including the Confidentiality Agreement
  8. Complete Women’s Place volunteer training
  9. Criminal reference check is required

 

Commitment

Commit to a minimum of three to eight hours per week. Six months to one year commitment to volunteering at Women’s Place is required.
